HQW Pillars Of Cleaning Excellence

Operational Integrity

Operational Integrity is the cornerstone of operating a successful cleaning business. Operational integrity means our cleaning protocols are repeatable, verifiable, and designed to protect both our clients' assets and our  personnel.  

Standardization & Consistency

 Standardization and Consistency  is the uniform execution of  cleaning services across all accounts. By eliminating variability in training, workflows, and equipment, this pillar ensures predictable, high-quality outcomes that protect public health and build long-term public trust. 

Accountability

 Accountability establishes clear lines of ownership at every level of cleaning services. Accountability means that performance metrics are transparent, responsibilities are clearly defined, and outcomes fir both excellent and substandard  are met with structured and predictable responses. 

Risk Prevention

 Risk Prevention prioritizes proactive risk mitigation over reactive correction. Risk prevention ensures the safety of our cleaning professionals, protects the physical assets of our clients, and shields the cleaning business from financial and legal liabilities.

HQW Evaluation Standards

Scorecard Calculations and Grading Scale

Every HQW Evaluation is digitized using the HQW Digital Evaluation Tool. Every room type has a weighted scorecard totaling 100 points, broken down by critical risk zones.

  •  Excellent (90% – 100%): Meets all standards.
  •  Pass (85% –89 %): Minor deficiencies noted. Minor correction action is needed. Requires a follow up evaluation.  
  •  Unsatisfactory (Below 85%):  Failure. Major corrective action is needed. Follow up evaluation is required.

Virtual On Site Reviews and Continuous Validation

To ensure auditing integrity while maximizing operational efficiency, HQW utilizes a centralized, in-house Virtual Review platform. This digital oversight system allows our internal Quality Assurance (QA) teams to validate field conditions in real time without disrupting client operations. 

  • Smart Inspection Templates:  Staff and supervisors execute walkthroughs using proprietary HQW inspection templates. These templates use conditional logic to trigger mandatory photo uploads and corrective action items if a surface fails a visual or quantitative check. 
  • Mandatory Media Evidence: When logging a completed work zone,  personnel must use HQW  platform camera tool to attach timestamped photos directly to the relevant line items. This enforces accountability, prevents the upload of historical images, and provides remote HQW reviewers with clear visual evidence.
  •  Issues Management: If a critical cleaning or maintenance issue (e.g., broken fixture, biohazard spill) is identified during a virtual walkthrough, the field team uses  HQW Platform Issues feature to log it instantly. This automatically alerts the internal QA team and assigns an action item with a fixed resolution deadline. 
  •  Automated Analytics & Reporting: Upon completion of a HQW inspection, a PDF report is automatically generated and synced to the HQW centralized dashboard. Regional leadership tracks performance trends, failure rates, and template completion velocity using  built in analytics. 

Accreditation Documentation Requirements

To successfully pass the accreditation evaluation, accredited cleaning businesses must fulfill the following ongoing criteria:

  • Annual Status Review:  Cleaning businesses must submit operational documents at month six and twelve of each accreditation cycle.
  • Standard Operating Procedure: A copy of updated SOPs, highlighting any new protocols added within the last six months.
  • Policy Addendums: Submission of any policy updates made within the six months.
  • Workforce Training Logs: Documentation proving that all  staff  have been enrolled in and/or completed the mandatory annual  120 hour training requirement.
  • Continuous Safety Monitoring: Cleaning businesses must submit active OSHA 300 logs alongside documentation of Safety Data Sheets (SDA).
  • Legal Compliance: Submission of business license, proof of good standing with SCC, Certificate Of Insurance, and a copy of surety bond ( $10,000 minimum) 
  • Employee Background Affidavit: Submit a signed affidavit that confirms all employees undergo a background check prior to being hired. 

Accreditation Investment & Fee Schedule

Fee Structure

HQW maintains a transparent fixed fee schedule to ensure that professional validation remains accessible for growing commercial operations up to multi-state enterprise teams. Because our in house auditing framework relies on advanced digital verification. Earning the HQW Accreditation involves two straightforward cost components:

Application Fee

$50/ application

A flat, non-refundable administrative fee due upon filing your initial intent for credentialing. This covers corporate eligibility screening, database setup, and the deployment of your custom HQW Compliance Framework. 

Simi Annual Virtual Audit Fee

 This is a scalable non-refundable fee calculated by the total square footage  serviced yearly.  Membership discounts will be applied. Learn more 

Tier 1: Micro Cleaning Operations

$150 / per audit

Tier 2: Growing Cleaning Operations

$300 /per audit

Tier 3: Corporate Cleaning Operations

$425/ per audit
